This process includes a review of the candidate’s resumé, pre-screening interviews, reference checks (a member of the Charlotte’s Best Nanny Agency team checks all references in-house, the family has a chance to call as well, as we are completely transparent, and encourage parent-to-parent conversation), and are extensively background checked as close to hiring as possible (so we have the most up-to-date information). The nanny and domestic professionals we recommend are experienced industry professionals, college-educated (or have equivalent experience), CPR/First Aid certified, have their own reliable transportation, go through our prescreening interview process, have glowing references, and pass a national background check.

1. Application & Resumé Submission
Every candidate begins by submitting an application and updated resumé.
2. Submit Relevant Documents
Candidates provide all required documentation to move forward in the process.
3. Initial Pre-Screening Call
We conduct a brief phone interview to ensure the candidate meets our agency’s standards and the unique needs of our clients.
4. In-Depth Interview
Qualified candidates are invited to a comprehensive one-on-one interview with a placement specialist. This helps us get to know each candidate’s personality, background, and skill set. (We look for a minimum of 3 years of experience in the industry.)
5. Custom Candidate Profile
We create a personalized profile for each candidate to highlight their qualifications and strengths.
6. Professional Reference Checks
Our in-house team conducts detailed reference checks and prepares a full reference report. Once a family expresses interest in hiring a candidate, they receive this report and are encouraged to connect directly with the candidate’s references.
7. Family Interviews
Candidates participate in virtual and/or in-person interviews with families who are interested in hiring them.
8. Certification Requirements
All candidates must be certified in CPR and First Aid before beginning a position. Many have advanced medical training, such as CNA, RN, EMT, or even retired MD credentials. We provide the candidate’s info on recertification if needed.
9. Transportation & Driving Verification
Reliable, safe transportation is required. We verify each candidate’s driver’s license and driving record during the background check process.
10. Comprehensive Background Check
We run a national background check as close to hiring as possible to ensure the most up-to-date information.
This includes:
- County-by-county criminal checks
- Civil records
- Social Security verification
- National & state driving record checks
- Sex offender registry search
- Security watchlist screening
Optional drug and alcohol screening is available for an additional fee.
Candidates Work Directly for The Family
When a candidate is hired by a family, the family is always the direct employer of the candidate hired. Charlotte’s Best Nanny Agency never employs nannies or domestic candidates at any time; we are solely a placement agency. Nannies and Household professionals we place are required to be paid directly by the family legally, by W-2 payment. According to the domestic payment laws in the country, 1099s are illegal. The family is responsible for overseeing day-to-day employment, paying their employee legally, and paying all applicable taxes.
Backup Care
Your next question may be, “So what do I do if my nanny is sick or going on vacation and cannot work?” At Charlotte’s Best Nanny Agency, we have you covered. We provide Backup Care and , as well as on-call Family Assistant services, for families when a Nanny or Family Assistant is out of work, sick, on vacation, for date nights, school holidays/breaks, or anytime your family needs extra childcare or assistance with errands and household tasks.
- Clients who hire full-time, permanent Nannies or Family Assistants through Charlotte’s Best Nanny Agency (starting September 2025 or later) will have an option to sign up for our subscription service at $30.00 per month (up to three bookings per month, a $19.95 savings per month) for the first six months after placement. Single bookings outside of the subscription service are $35.00 per booking.
- Clients who hire part-time, permanent Nannies or Family Assistants through Charlotte’s Best Nanny Agency (starting September 2025 or later) will have an option to sign up for our subscription service at $30.00 per month (up to three bookings per month, a $19.95 savings per month) for the first three months after placement. Single bookings outside of the subscription service are $35.00 per booking.
*Bookings do not roll over, and Clients are always directly responsible for employing and paying the providers’ wages directly to them for each booking.*
After the first 3-6 months (depending on whether the permanent placement is Full-Time or Part-Time), families have the option to sign up for the Backup Care, Babysitting, and on-call Family Assistant placement monthly subscription service at the full cost of $49.95 per month, or they are welcome to book single bookings at the rate of $35.00 per booking.
While we cannot guarantee 100% that we will be able to confirm a backup care provider for each need, all backup placements are contingent upon the current backup care provider’s availability. We do make every effort to confirm a Backup Care provider, Babysitter, or Family Assistant when requested.
Continued Support
While we do not employee nannies or domestic candidates at any point, we do offer continued support. We are always available to provide support and guidance, as needed. This continued support is offered to all clients and candidates throughout the placement process and throughout the placement, whether the placement lasts one year, or 12 years.
